When choosing a wedding venue, and even with planning a wedding in general, things can be stressful enough without adding in trying to figure out what you need to know about your wedding venue. When considering which venue to hire, there are certain things you need to know, so here is a list of things you can ask yourself to prepare for your wedding venue visit.

Timing

  1. What is their price?
  2. What is their availability?
  3. Is your wedding date open?
  4. If not, are any dates around that time open?
  5. Does the venue have a wait list for dates?
  6. How long is the wait list?
  7. How far in advance can you reserve your date?
  8. When do you need to reserve your date by?
  9. What are the different prices for different days of the week?
  10. What are the different prices for different seasons?
  11. How many hours are included in the price or package?
  12. What time can you arrive?
  13. How late can you stay?

To consider the timing: make sure that your wedding is the only event at the venue that day. Otherwise, there will be loads of people and crowds to deal with, limited access to the venue, restricted timing on how early and late you can arrive, and confusion for your guests. It’s also a good idea to consider buying out the entire venue and what that would cost if you decide to go that route to ensure your wedding is the only one that day. Or ask and find out how the staff handles multiple events. Check reviews to see people’s past experiences at each location you visit.

Money

  1. How much is the deposit?
  2. How does the venue structure payments?
  3. What is included in the package?
  4. Do service charges and cleaning fees cost extra?
  5. If so, how much?
  6. What is the cancellation policy?
  7. When is the last date you can make changes to your reservation?

Additional things to ask:

  1. Does the venue have a list of approved or recommended vendors you can use?
  2. Do you have to use the venue’s approved list of vendors?
  3. If not, are their limitations or guidelines you need to meet if you bring others in?
  4. Does the venue recommend any vendors?
  5. Is the venue handicap accessible?
  6. Is there any noise restrictions in the area?
  7. How many bathrooms does it have?
  8. Is parking available?
  9. What’s the occupancy?
  10. Will guests be charged for parking or is parking free?
  11. If parking costs, how much would it cost for you to pay the guest parking fee?
  12. Does the venue have sound equipment?
  13. If not, do those have to be rented or provided by the entertainers?
  14. If there’s bad weather, what’s the backup plan?
  15. When can vendors arrive for setup?
  16. When can people arrive for decorating?
  17. Are there any restrictions for decorating?
  18. Will the staff be involved in setting up decorations or taking them down?
  19. If so, how?
  20. Does the venue have an in-house caterer?
  21. If so, are food and drinks included in the overall package or price?
  22. If the venue doesn’t have an in-house caterer, do they have a list of caterers that they recommend?
  23. Do you have to choose a caterer of the venue’s choice or can you hire your own?
  24. Can you purchase alcohol from outside the venue or do you have to buy it straight from the venue?
  25. Can you bring your own alcohol onto the property or is there a fee for that?
  26. Who will be your on-point person as you plan your wedding and who will be there on your wedding day?
  27. Can you meet them ahead of time?
